Overview

Manages and oversees the day-to-day constituency services and administrative support activities of the General Manager. Acts as the primary point of contact for both internal and external constituencies, assists and represents the General Manager in communicating with constituents, and handles multiple incoming issues and concerns addressed to the General Manager, as they arise. Manages a variety of special projects for the General Manager, some of which may have organizational impact. Responsible for scheduling, coordinating and completing all administrative work as assigned to ensure efficient and effective administrative support for multiple staff and General Manager.

MINIMUM QUALIFICATIONS:

  • Must be at least 21 years of age.
  • Associate’s degree plus two (2) years previous experience as an administrative assistant required; or Bachelor’s degree in Business Administration or substantially related field. A Bachelor’s degree is preferred.
  • Required to pass a pre-employment drug screening and obtain and maintain an Osage Nation gaming license.
  • Required to maintain a valid Driver’s License.
  • Required to provide documents to show the applicant is eligible to work in the United States.
  • Osage, Native American, and Veteran preference shall apply to all positions at Osage Casinos.

Responsibilities

GUEST SERVICES

  • Provides excellent internal and external guest services, treating internal and external guests with courtesy and consideration at all times.
  • Cooperates and communicates with all fellow employees, always exhibiting mutual respect and consistently projecting a positive, helpful image/attitude.
  • Serves as the primary point of initial contact for internal and external constituencies on all matters pertaining to the property.
  • Provides assistance and represents the General Manager as appropriate in communicating with internal and external constituents.
  • Interfaces with all levels of Company employees, as well as outside agencies and guests, in a courteous, appropriate manner.
  • Responds to complaints and/or inquiries promptly and politely.
  • Assists with arrangements for special functions on and off property.
  • Schedules appointments and makes travel arrangements for the General Manager and other staff as assigned.
  • Answers telephone and gives information to callers or routes calls to the appropriate individual.
  • Maintains a working knowledge of Company facilities as well as current and upcoming special events on property in order to advise guests, management and fellow employees of same whenever possible.

REGULATORY COMPLIANCE

  • Maintains excellent working relationships with other Company staff and all applicable regulatory commissions and other agencies as may be applicable to ensure compliance.
  • Performs all duties in accordance with company core values, objectives of the Osage Nation, internal policies and procedures, as well, as applicable laws and gaming regulations, including but not limited to, the state-tribal compact, IGRA, MICS, ONGR, the Bank Secrecy Act, Office of Foreign Asset Control, USA Patriot Act and Privacy Act.
  • May assist General Manager in responding to audits and gathering information for compliance reports.

BUSINESS GROWTH/DEVELOPMENT

  • May be required to prepare detailed daily, weekly, and monthly operating reports as required by the reporting senior.
  • Monitors and replenishes office supplies; aids in financial management of property administration.

ORGANIZATIONAL GROWTH/DEVELOPMENT

  • Independently researches, prioritizes, and follows up on multiple incoming issues and concerns addressed to the General Manager, including those of a sensitive and/or confidential nature; determines appropriate course of action, referral, and/or response.
  • Manages a variety of special projects for the General Manager.
  • Organizes work assignments in order to maintain the greatest efficiency in the completion of assignments.
  • Researches, edits and completes drafts for and responses to written materials; prepares outgoing mail; files correspondence and other records and reports.
  • Maintains the highest level of confidentiality and professionalism.

COMMUNICATION

  • Makes efforts to keep informed of company information and communications by reviewing property bulletin boards, digital signage, and company newsletter.
  • Effectively communicates concerns and information to supervisor and listens to communication from supervisor.
  • Effectively relates ideas for improvements to supervisor and management in accordance with chain of command.
  • Performs all other related and compatible duties as assigned.

PHYSICAL DEMANDS

The employee must be able to lift at least 10 lbs and push, pull, or drag up to 30 lbs. The employee is occasionally exposed to risks associated with travel between properties and back and forth to other areas as may be required due to business demands. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

Required to use personal computer systems and/or other devices as required to effectively perform job functions. The employee is regularly exposed to fumes or airborne particles, including second-hand environmental smoke. The noise level in the work environment is low to moderate. The employee may be exposed to the risks associated in attempting to resolve issues with extremely irate or difficult people.
