Executive Administrative Assistant

Position Summary:

The Executive Administrative Assistant is responsible for performing a variety of complex, responsible and confidential secretarial and administrative duties in support of the President/CEO/General Manager, Chief Financial Officer and the Pueblo of Tesuque Development Corporation Board of Directors.

Note: Native American preference will be given.

Essential Duties & Responsibilities:

  • Screen visitors, telephone calls and mail directed to the General Manager/Board of Directors.
  • Type and design general correspondences, memos, charts, tables, graphs, business plans, reports, presentations, etc. using Microsoft Word, Excel and PowerPoint.
  • Proofread copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Review and analyze financial information and reports.
  • Maintain a contracts library.
  • Maintain appointment schedules and calendars.
  • Provide support for Board meetings including agenda preparation; gathering, preparing and copying information; contacts meeting participants; take, transcribe, distribute and retain meeting minutes, as requested.
  • Act as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, and senior vice presidents. 
  • Handle and assemble confidential and non-routine information and explain policies when necessary.
  • Maintain organized files. 
  • Work independently and within a team on special nonrecurring and ongoing projects, as assigned.
  • Assist with special projects, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings or working with other departments to create brochures.
  • Hold in strict confidence all information and materials privy to.
  • Review contracts and maintain a contract library.
  • Assist with making travel arrangements and facilitate settlement of invoices for Board members.

Experience and Education:

  • Associate Degree in Business Management, Secretarial Technology or other related field or graduation from an accredited business school/college.
  • Minimum of three (3) years of experience in an executive support role or five (5) years of increasingly responsible clerical, administrative, and accounting experience.

Minimum Qualifications:

  • Must be 21 years of age or older.
  • Must be able to successfully pass a pre-employment drug/alcohol screen, background investigation, and obtain and maintain a gaming license from the Pueblo of Tesuque Gaming Commission.
  • Professional attitude and appearance.
  • Knowledge of casino operations and gaming regulations.
  • Thorough knowledge of accounting procedures.
  • Knowledge of and ability to apply Roberts Rules of Order.
  • Ability to maintain information confidential under all circumstances.
  • Ability to work independently exercising good judgment and initiative.
  • Strong organizational, communication, employee relations and decision-making skills.
  • Paralegal preferred, not required.

The incumbent occasionally exposed to loud noise, change in temperatures, and second-hand smoke.

Work Environment:

Work is generally performed in a casino setting with exposure to second-hand smoke and a high noise level. Due to the nature and scope of this position, evenings, weekends, holidays, and extended hours and irregular shifts will be required.
