Under the general direction of the Accounts Payable Supervisor, the Accounts Payable Specialist is responsible for compiling invoice packets, verifying invoice accuracy, discrepancies, and submitting accounts payable reports to the appropriate recipient for verification. The Accounts Payable Specialist ensures compliance with the Gaming Commission’s Tribal Gaming Minimum Internal Controls (TICS) and the Gaming Commission Regulations (GCR), by studying the standards, enforcing adherence to requirements and advising management on needed actions.

Essential Duties & Responsibilities

1. Responsible for compiling invoice packets.  Verifies and analyzes invoices and purchase orders submitted from departments for accuracy, sales tax, general ledger coding, etc.  Maintains highly confidential records. Matches checks, Wires, ACH and Payment Plus support to payable voucher package. Reviews W-9’s and 1099 details for accuracy and processes 1099’s and 1042’s in accordance with federal requirements.

2. Investigates and reports any discrepancies found in matching vendor invoices against department requisitions, purchase order and/or receiving report, check request or contract.  Ensures compliance with regulatory requirements and conforms to industry standards, TICS and GCRs.  Maintains high level of customer service in accordance with San Manuel’s policy to provide consistent, timely and accurate delivery of accounts payable services.

3. Responsible for reconciling accounts payable invoices to ensure accuracy and submit month end accruals to General Ledger.  Uses technical and operational skill to optimize performance and ensure timely completion of Accounts Payable activities.

4. Prepares financial reports and distributes as needed.  Submits Independent Contractor reports to Employment Development Department (EDD) and CA Form 592 to the Franchise Tax Board. 

5. Performs other duties as assigned to support the efficient operation of the department.

Education/Experience/Qualifications

  • High School diploma or GED is required.
  • Associates degree in Accounting is preferred.
  • Minimum of three (3) years of experience in a high volume Accounts Payable department.
  • Must possess intermediate proficiency in Microsoft Office Suite (i.e. Word, Excel, and Outlook) and advanced 10-key.
  • Experience with Enterprise Resource Planning (ERP) systems; Lawson or similar financial software is preferred.
  • Must have demonstrated ability exercising utmost discretion with confidential information including, but not limited to: credit card information and personal or financial data from customers and vendors.

Certificates/Licenses/Registrations

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.
  • An Accounting Certificate is preferred.
