Specialist - Accounts Payable

Description

MAJOR FOCUS:

Responsible for the flow of forms and documents required for efficient and effective record-keeping and processing of invoices.

ESSENTIAL FUNCTIONS:

  • Reconciles automated import of invoices from MMS to Great Plains computer system.
  • Performs daily reviews and updates of vendor information.
  • Reviews statements from vendors for accuracy of paid/unpaid invoices.
  • Maintains excel worksheets to track payments to various vendors (director fees, gambling withholdings, etc.).
  • Prepares and enters manual invoices for payment.
  • Distributes mail to appropriate departments for signatures.
  • Attaches supporting documentation (packing slips, etc.) to invoices.
  • Prepares and seals checks for internal distribution and external mailing.
  • Responsible for maintaining proper filing of paid invoices.
  • Researches accounts payable issues as needed.
  • Communicates effectively with co-workers, supervisor, vendors and other departments regarding status on invoices.
  • Provides exceptional customer service.
  • Works safely, following all established safety rules and regulations.
  • Follows all relevant policies and procedures.
  • Complies with the company’s recycling program and standards.

ADDITIONAL FUNCTIONS:

  • Performs other duties as assigned.

REQUIREMENTS/EDUCATION:

  • High School diploma, GED or equivalent work experience required.
  • Basic mathematical and bookkeeping knowledge required.
  • Prior Accounts Payable experience preferred
  • Must be detail-oriented.
  • Knowledge of automated accounting systems preferred
  • Must be able to operate a PC (Outlook, Excel and Word, in a windows environment).
  • Must possess good communication skills.
  • Must be able to report to work on time as scheduled.
  • Must be able to work weekends, holidays and nights as needed.
  • Must be able to successfully pass a background check.
  • Must present an overall professional appearance and report to work in appropriate attire.
  • Must be able to speak, read and write English
