Job Description

Under the direction of the Chief Legal & Compliance Officer (CLCO), the Manager of Executive Programs is responsible for the professional support and administration of the CLCO’s executive project portfolio. The Manager of Executive Programs works with senior leadership to document the Legal, Enterprise Risk Management, Information Security and Enterprise Legal Compliance departments’ strategic initiatives and projects. This position performs continuous monitoring and reporting on initiative/project status, and contributes to communications with Tribal leadership, executives, project sponsors and team members. This position also provides exclusive project support to the CLCO while managing other administrative roles within the department.

 

The Manager of Executive Programs adheres to best practices, processes, and toolsets for effective program/project management, and helps educate team members on best practices and effective project execution. This position supports and reports urgent, complex projects and strategic initiatives that requires a high degree of specialized knowledge of the Legal, Enterprise Risk Management, Information Security, and Enterprise Legal Compliance departments. The Manager of Executive Programs supports the departments’ strategic priorities from inception to completion and contributes to professional quality communication materials (i.e., decks, memos, etc.) appropriate for executive leadership and Business Committee/General Council audiences, as applicable. The Manager of Executive Programs champions the goals and priorities of the Tribe in a manner that faithfully reflects and upholds the Tribe’s vision, mission, and values.

 

Essential Duties & Responsibilities

1. Manages the departments’ project portfolio covering a wide range of initiatives from inception to delivery, works with project sponsors and team members to provide a comprehensive overview of initiative and projects. Develops quality assurance methods to ensure that initiatives and projects are being well managed and adhere to appropriate standards and best practices.

2. Tracks and reports initiative and project statuses on a timely basis to the Chief Legal & Compliance Officer, department leaders, executive team, and Tribal leadership as applicable. Utilizes cross-organizational communication approaches to help ensure strategic alignment.

3. Oversees senior leadership administrative support including coordinating and organizing detailed organization calendars, events, meetings, meeting summaries, reports, agenda planning and presentations. 

4. Develops an overall understanding of the initiatives/projects in order to comprehend the scope, benefits, and dependencies to leverage institutional knowledge and identify creative ways to achieve strategic initiatives.

5. Works collaboratively with the Chief Legal & Compliance Officer on project processes and procedures from inception to completion including those directly and/or indirectly managed by the departments’ teams.

6. Performs other duties as assigned to support the efficient operation of the department and assumes other responsibilities, duties, tasks and assignments that contribute to the mitigation or response to any public health emergency.

 

Supervisory Responsibilities

Carries out supervisory responsibilities in accordance with the organizations policies and applicable laws.   Responsibilities include interviewing, hiring, and training employees; planning, assigning reviewing and directing work; evaluating and appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.  Makes hiring decisions and designs individual development plans with succession planning in mind for all key roles.

Requirements

Education/Experience/Qualifications

  • Bachelors degree in a related field is required.
  • Masters degree is preferred.
  • Minimum of three (3) years supervisory experience in administrative support/management to senior executive levels is required.
  • Minimum of five (5) years of project management experience is required.
  • Equivalent combination of education and progressive, relevant and direct experience may be considered in lieu of minimum educational/experience requirements indicated above.
  • Must have intermediate to advanced proficiency with Microsoft Excel, Microsoft Word, and Microsoft PowerPoint.
  • Experience working with Microsoft Project and/or comparable project management tools.
  • Must display exceptional judgment, emotional intelligence, personal integrity, and ability to drive results while demonstrating strict professional decorum and extreme confidentiality with respect to sensitive information.
  • Ability to communicate with multiple teams, coordinate activities/tasks among departments, contributes to cross-team alignment, collaboration, and information sharing.
  • Ability to define problems, collect data, establish facts and draw valid conclusion. Exceptional planning and organizational skills with a quality focus and attention to detail and proactivity with ideas and recommendations for productivity and efficiency.
  • Extensive experience managing calendars for multiple individuals and determining the priority of meeting requests and events.
  • Exceptional verbal and interpersonal communication skills, grammar, business writing, and presentation preparation skills.

Certificates/Licenses/Registrations

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.
  • A qualified candidate/employee must have a valid drivers license with an acceptable driving record as determined by the companys insurance carrier.
  • A Project Management Professional (PMP) certification is preferred.
